πŸ’° Admin Guide: Recording a Payment Higher Than the Invoice

If a client sends a check, bank, or cash payment that exceeds the invoice total, here's how to properly handle it in Spiro.

πŸ›‘ Note: Spiro does not automatically apply overpayments to other invoices. These must be managed manually by an admin.


πŸ” Example

  • Invoice Total: $150

  • Payment Received: $200

  • Overpayment: $50


βœ… What to Do

1. Apply the Payment

  • Open the invoice in Spiro.

  • Record a $150 payment on the invoice.

  • In the Notes section, include a note about the $50 overpayment.

2. Handle the Overpayment

Choose one of the following:

  • βž• Add a Credit:
    Manually add a $50 credit to the agent’s account for future use.

  • πŸ’Έ Issue a Refund:
    Send a $50 refund check to the client.

  • πŸ” Apply to Another Invoice:
    Manually apply the $50 to another open invoice for the same agent.


⚠️ Important

  • Overpayments are only possible via manual payments (check, bank, cash).

  • Clients cannot overpay via credit card when paying online through Spiro.
