Adding a Cancellation or Reschedule Fee

Definition

Spiro gives you two ways to apply cancellation or reschedule fees:

  1. Automatic Default Rules (set in Settings → Invoicing).

  2. Manual Fees (applied directly on an order).

Purpose

Cancellation and reschedule fees help protect your business from last-minute changes. You can set up global rules to enforce consistency or add fees manually on a case-by-case basis.


Option 1: Set a Default Cancellation/Reschedule Fee (Automatic)

  1. Go to Settings → Invoicing → General. 📸

  2. In the Cancellation Fee section, choose the timeframe (e.g., “within 24 hours”).

  3. Enter the fee amount (e.g., $50).

  4. Save your changes.

✅ Spiro will now automatically apply this fee to orders that are canceled or rescheduled within the set window.

⚠️ Note: Only one global rule can be set at a time. If you need different rules for different situations, apply a manual fee (see Option 2).


Option 2: Add a Fee Manually on an Order

  1. Open the order in Orders.

  2. Select Add Fee (at the bottom or top of the order summary). 📸

  3. Choose Cancellation Fee or Reschedule Fee (or create a custom fee).

  4. Enter the fee amount and description (example: “Same-day cancellation”).

  5. Save your changes.

✅ The fee will now appear on the invoice for that order only.


Why Use It

  • Ensures compensation for time lost on last-minute cancellations.

  • Keeps your invoicing accurate and consistent.

  • Lets you apply either automatic rules or manual exceptions depending on your workflow.
