We have set the "When" (Scheduling); now we need to define the "Where." In this module, we will draw your service boundaries, configure automatic trip fees so you never lose money on gas, and ensure your team is actually linked to these locations.
Step 1: Access Service Areas π
Navigate to Settings > Service Areas. Spiro creates a default area based on your sign-up address. Click on that Default Service Area to begin editing.
Step 2: Define the Center Point π―
Name: Rename this to your city (e.g., "Columbus, OH") so it is easy to identify.
Center Point: This is the anchor for all your mileage calculations.
Option A (Office): Use your physical office address.
Option B (City Center): Type just the city name (e.g., "Columbus, OH"). This uses the generic Google Maps center point.
Why City Center? It makes it easier to explain travel fees to agents. You can simply say, "We calculate mileage from the center of Columbus."
Step 3: Choose Your Shape π
Select your Geofence Type:
Radius (Recommended): Creates circular zones radiating from your center point. This is the easiest way to manage tiered travel fees.
Custom Shape: Allows you to draw exact boundaries on a map. Use this if you need to exclude specific neighborhoods or stay on one side of a river.
Step 4: Configure Trip Fees πΈ
Scroll down to Service Area Settings. You have two methods for charging travel.
Method A: Tiers (Most Popular) This charges a flat fee based on distance ranges.
Clean Up: Delete the default "0-1000 miles" tier (unless you really like driving!).
Set Base Zone: Click the + icon. Set 0 to 30 miles at $0 (Free Travel Zone).
Set Fee Zones: Click + again. Set 31 to 40 miles at $50.
Repeat: Set 41 to 50 miles at $100.
Important Note on Mileage: The circles you see on the map are "As the Crow Flies" (straight lines) for visualization. However, Spiro calculates the fee based on Actual Google Driving Miles.
Method B: Per Mile Change Trip Fee Charge Type to "Per Mile".
Set your Max Distance (e.g., 50 miles).
Set your rate (e.g., $0.50 per mile).
The system will automatically calculate the charge for every mile from your center point.
Step 5: Assign Photographers (Crucial Step!) πΈ
Scroll to the bottom to Linked Photographers.
The "Backpack" Rule: If a photographer is not listed here, Spiro does not know they work here.
A common mistake is hiring a new photographer but forgetting to add them to a Service Area. If you don't add them, they will never receive automated bookings.
Check the box next to every photographer who covers this territory.
Step 6: Save
Click Save Changes.
