Using @Mentions and Notifications
Internal notes allow your team to collaborate directly within Spiro. By using @mentions, you can notify teammates about updates, questions, or actions that need attention while keeping the conversation attached to the order.
How @Mentions Work
When creating an internal note, type @ followed by a teammate's name.
A list of eligible users will appear as you type, allowing you to select the person you want to notify.
Once the note is saved:
The mentioned user receives an in-app notification.
The mentioned user receives an email notification (if email notifications are enabled on their profile).
The notification includes a link back to the note where they were mentioned.
Where @Mentions Can Be Used
@mentions are available anywhere the internal note thread is available.
This includes:
Order Overview
Property Website Editor (PWE)
On-Site Tracking
All three locations share the same underlying note thread. Notes created in one location will appear in the others.
Who Can Be Mentioned?
At launch, only active Admin and Editor users can be mentioned.
Eligible users:
Active Admins
Active Editors
Users who cannot be mentioned:
Agents
Field Photographers
Inactive users
The user picker automatically filters available users as you type.
Receiving Notifications
When you're mentioned, you'll see a notification badge in the upper-right corner of the Admin Portal.
Clicking a notification from the bell menu will take you directly to the note where you were mentioned.
You can also review your notifications from the Notifications Inbox located in the left navigation menu.
Marking Notifications as Read
Notifications are automatically marked as read when opened.

Mark all notifications as read

Comments vs. @Mentions
Comments and @mentions are not the same thing.
Any user with access to the note thread can see comments on an order. However, users only receive notifications when they are explicitly tagged using an @mention.
Example:
Comment added without an @mention → visible in the thread, no notification sent.
Comment added with an @mention → visible in the thread and notification sent to the tagged user.
Email Notifications
By default, mentioned users receive an email notification in addition to the in-app notification.
Email notifications include:
The comment content
The order context
A link back to the note within Spiro
Users can disable email notifications from their profile settings if desired.
Note: Disabling email notifications only affects email delivery. In-app notifications will continue to appear when you are mentioned.
Replying to Notes
Replies within the note thread do not automatically notify everyone involved in the conversation.
If you want another user to receive a notification, you must mention them again using @Name.
Example:
Amy mentions Todd
Todd replies without tagging Amy
Result:
Amy will not receive a notification
To notify Amy, Todd must include @Amy in his reply.
Deleting Comments
Users can only delete comments they created.
Before deletion, Spiro will display a confirmation message.
When a comment is deleted:
The original comment content is removed
A placeholder remains in the conversation history
The conversation timeline remains intact
Important: Deleting a comment does not recall notifications or emails that have already been delivered.
Notes for Editors
Editors only have access to the Property Website Editor within the Editor Portal.
In some cases, a notification may not be able to deep-link directly to a Property Website Editor page if that page has not yet been created. When this occurs, the notification will still appear in the Editor Portal and the associated note thread will remain accessible once the page becomes available.
Frequently Asked Questions
Can I mention more than one person in a comment?
Yes. A single comment can contain multiple @mentions, and each mentioned user will receive their own notification.
Can I turn off notifications?
In-app notifications cannot be disabled.
Email notifications can be disabled individually from your user profile.
Can I disable @mentions for my company?
No. @mentions are available for all Admin and Editor users.
Can Agents or Photographers be mentioned?
Not at this time. Version 1 supports Admin and Editor users only.
Do notes created in Order Overview, PWE, and On-Site Tracking stay in sync?
Yes. All three locations share the same internal note thread.
