When you log in to the Admin Portal, the Dashboard is the first thing you see.

When you log in to the Admin Portal, the Dashboard is the first thing you see. It gives you a live, at-a-glance view of what needs your attention today, what's scheduled for today and tomorrow, and how much work each photographer has on the books.

Overview

The Dashboard is made up of three sections:

Understanding the "To complete" tiles

The To complete tiles are live, account-wide counts — they aren't limited to a specific date range.

Needs Scheduled

Orders with no appointment locked in — either none was ever created, or a reschedule (by the client or an admin) cleared the previous one.

No job created, Rescheduled by Client, Rescheduled by Admin

Needs Created

Orders where the shoot is complete but the delivery page hasn't been built yet.

Photographer Completed

Needs Delivered

Orders with a delivery page built, but not yet sent to the client.

Delivery Pages Created (or later), as long as delivery isn't marked complete yet

Needs Paid

Every client invoice that isn't fully paid — Created, Sent, or Partially Paid — no matter how old. This is an all-time count, not limited to the current month.

Notes

  • Orders still in New Draft or Updated Draft status aren't included in this tile — they show up under Orders → Appointment Drafts instead, until they're scheduled. See How to - Manual Scheduling Appointment Phases for details.

  • Needs Paid only includes orders that already have an invoice. An order that hasn't been delivered yet has no invoice, so it won't appear here yet — even though payment will eventually be required once it's delivered.


Understanding today and tomorrow counts

The Today and Tomorrow sections each show five tiles, based on appointments whose scheduled arrival window falls entirely within that day.

The appointment is on the calendar, but the client hasn't confirmed it yet.

The entire order was cancelled.

The appointment was rescheduled — by the client or by an admin.

Schedule cancelled

The appointment was cancelled — either automatically, because the client didn't confirm in time, or directly by the client.

Each job counts toward exactly one of these five tiles, based on its current status. Two things to keep in mind when reading these numbers:

  • As a job moves forward — for example, once a client confirms — it moves out of one tile and into another. Because of this, the five tiles won't add up to a fixed total for the day.

  • Once a photographer arrives for or completes a job, it no longer appears in any of the five tiles. There's no separate tile for in-progress or completed jobs, so it's normal for these counts to shrink over the course of the day.


Understanding basic counts

The Basic Counts table shows the number of appointments each photographer has on the books for the current week (Monday–Sunday) and the current month — not the number they've completed. An appointment counts as soon as it's scheduled, regardless of its current status, as long as it hasn't been cancelled or rescheduled.

Photographer

Name of the photographer. A dot next to the name shows Active or Inactive status — hover to confirm which.

Week Count

Appointments with an arrival window in the current Monday–Sunday week.

Month Count

Appointments with an arrival window in the current calendar month.

This table is view-only — there's no drill-through on any row. All three columns are sortable, and the table loads sorted by Week Count, highest first.

Notes

  • The Basic Counts table includes both active and inactive photographers. Deleted photographers and internal accounts are not shown.

  • In a week that spans two calendar months, Week Count only includes the days that fall in the current month — so that week's number may look lower than the appointments actually on the calendar for it.
