Configuring Dropbox Integration

The Dropbox integration is a powerful feature that will allow you to automatically create and share Dropbox folders across your Photographers, Editors and Admin. Spiro will allow you to create Static or Watched folders that import automatically to the Display Page. The system can also calculate the number of expected edited images and can integrate with the Merge Fleet for automatically video editing. Dropbox folders will be unshared with all users except the photographer 3 days after the shoot date.

To add your Dropbox account:

8. Once Authenticated you will be redirected back to your portal

Once your Dropbox account is authenticated you can tell the system to auto create Dropbox folders for every job.

The system will create Dropbox Folders in an organized structure

  1. Year Folder - Every year a new folder will be created with all of your Dropbox files

  2. Quarter Folder - inside the year folder the system will automatically create a Quarter Folder. This prevents too many folders populating in the year folder

  3. Photographer Folder - the system will automatically create and share a folder with each photographer.

  4. Job Folder - Each time a photographer completes a job in the Photographer portal the system will automatically create a folder with the date, the job sequence number, the address, and the agent

You have the ability to define the folders that are created inside each "Job" folder

9. Create Folders

Static Folders - do not auto import back into the display page. They are just used to organize and share assets with your editors/team

Auto Import Folders - Will automatically import all media placed in the folder to the designated section on the Display Page.

-IE: If you place jpg images in an Auto Import folder that is linked to the Delivery Section "Photos" these images will automatically upload to the Display Page (no need for manual uploading).

-Note: Auto Import Folders will not automatically import after the listing has been delivered. Once the Listing have been delivered you will need to manually upload all media into the system

10. To Create a Static Folder - Click the Add New Folder button in the Static folder section

11. Give your folder a Name

This "Name" will be used on ALL Dropbox folders

TIP: To better organize your Dropbox folders use a sequence number before your folder name. By default Dropbox organizes folders sequentially by Name. Place an "01" at the beginning will ensure this folder shows first.

If this folder contains Unedited Photos or Video tick the box by the folder name

RAW/Unedited Photos: The system will calculate the number of final images based on the total number of uploaded RAW images divided by the bracket count selected in the photographer portal. This "expected" number of images is displayed to Editors and Admin on the "Task Manager" page

RAW/Unedited Video Clips: If you are using the Merge Fleet for Automatic Video editing you will need to tell the system where the RAW unedited video clips are located for editing.

14. Add More Folders

You may add as many Static Folders as you wish by clicking the "Add New Folder Button"

15. Create Auto Imported Folders

Next you may create any needed Auto Import Folders (folder that sync back to the Display Page)

In the Auto Import Section click "Add New Folder"

This name will be used for ALL Dropbox Job Folders

18. Specify the section to import media

You have 4 choices to Auto Import media:

  1. Photo - all media uploaded to this dropbox folder will automatically be loaded to the Gallery section of the Display Page

  2. Video -All media will be synced to your Vimeo account and then auto imported to the Video section of the Display Page

    1. Note: You must have the Vimeo integration added for this to work

  3. Downloadable Files - all media will be synced to the File section of the Display Page

  4. Floor Plans - all media will be synced to the Floor Plan section of the Display Page

Note: Please allow time for media to sync, the process is not instant and total time needed depends on the amount and size of assets. Once the Job has been delivered to the Client the system will no longer auto sync these folders to the Display Page. All changed must be done manually in the Display Page Management

20. Click on Save Changes

For all jobs moving forward after a Photographer has completed in the portal Dropbox folders will automatically be created.

Note: Photographers will receive a Share link from Dropbox with "Quarter" Dropbox Folder. Photographer can always find each job folder by clicking the "Storage Folder" Button shown on all completed Jobs
