Spiro looks at many options to determine whether a Photographer has availability for scheduling. If you are finding that when you are placing a test order that the calendar is showing no availability, please check these settings on each of your Photographers
To get started, you would need to go Team > Photographers
Click on Manage for the photographer you need to check:
A couple of things you would need to check:
The User has their Launch Location set
You can manually set by clicking on the "Edit" Pencil on the Photographer account or the Photographer can change it in their Settings inside the Photographer Portal
Calendar Integration
You do not have to have the Calendar Integration installed for Automatic Scheduling to work; however, you will have to have the integration to set time off
Services & Entry
Be sure to set "Allowed Service Categories"
Think of Service Categories as Photographer Skills, or what services this photographer can be scheduled to perform. When you set up your Shopping Cart you would have assigned a category to each service
Be Sure to set "Allowed Entry Methods"
This is how the Agent defines you will enter the house. These entry methods can be modified in the Settings section of Spiro.
Scheduling & Restrictions
Scheduling & Restrictions can limit or allow appointments based on the input you have defined.
Restrictions:
Max Number of Jobs per Day - limit the number of jobs scheduled in 1 day
Max income - Limit the payout to the photographer in 1 day
Max Number of Hours Worked per Day - Limit the number of scheduled hours in 1 day
Max House Square Footage per Appointment - Limit the size of the property per appointment (this is great for photographers in training)
Max House List Price - Limit the job based on the price of the home (also great for photographers in training)
Max Order Total - Limit the job based on the order total (great for photographers in training)
Allowed VIP scheduling - is this photographer allowed to shoot for VIP clients?
Appointment Duration Modification - is this photographer slower or faster than your standard time set on each product? Modify this section to have a custom duration based on the speed of the photographer
Auto-Scheduling Setup
Assignment Priority - if you are using an Automatic Scheduling method that is based on priority this number will increase or decrease your priority in the list of photographers
Rest Between Appts - this time will be added to each appointment before another appointment can be scheduled
Max Mileage per Day - Limits the total mileage allowed to be scheduled per day
Max Mileage between Appointments - Limits the mileage between appointment
Gaps and Downtime - Can a client schedule with Gaps in your day? Gaps allow more time choices for clients but are downtime for your photographer.
Appointment Time Slots
A newly added feature would be the option to use Time slots, this allows users to select if it'll follow the default available schedules being offered on the ordering page.
Is the time slot your client chose within the photographer's working hours?
You also have the option to change the increments of the slots your clients can select and this also creates more flexibility for you and your photographers!
Working Days & Hours
Are they working on those days? Are those days checked/unchecked?
Please note:
"Beginning of Day" time will be the time you leave your "Starting Location" not the time of the first available appointment. IE - If you Beginning of Day is 9am and your first appointment is a 30 minute drive from your house, the first time available to your client will be 9:30am, NOT 9am
"End of Day" is the time you will be back to your "Starting Location" not the time of the last available appointment. If your "End of Day" time is 5pm the system will account for the time needed to shoot your last appointment and drive home. If your appointment duration is 60 minutes and your drive home is 30 minutes your last available time slot will be 3:30pm
Service Areas
Service Areas are the locations where this photographer will travel. You can modify and add your Service areas in Settings -> Service Areas
Make sure they are assigned to the Service area a client would be booking for
