How to edit an invoice

Change prices, add or remove charges, or cancel an invoice by editing its Order.

Written by Tyra

You can’t edit an invoice directly in Spiro. Instead, you edit the Order, and its invoice updates right away, even if the invoice has been sent or paid, and even if it includes other Orders.

How to change a price

  1. Open the Order and expand Order Details.

  2. Click the pencil next to the price you want to change.

  3. In Price Override, enter the New Value, choose an Override Reason, and add an Invoice Note.

  4. Click Save.

How to add a charge or discount

  1. Open the Order and expand Order Details.

  2. Under Custom Fees, click + Add Fee.

  3. Enter a Fee Name and the Agent Price. If a Company pays part of it, enter the Company Price too. For a discount, enter a negative amount (for example, -25).

  4. Click Save.

To remove a custom fee, click the pencil next to it under Custom Fees, click Delete, then click Confirm.

How to add or remove an add-on

  1. Open the Order and expand Order Details.

  2. Next to Order Page, click Edit. The Order Editing panel opens.

  3. Under Optional Add-ons:

    • To add one, click + Add and choose the add-on.

    • To remove one, click the trash can next to it, then click Confirm.

  4. Click Save Changes. If you close the panel without saving, your changes are lost.

The add-on is added to or removed from the Order, the invoice and the photographer’s appointment.

How to cancel (zero out) an invoice

You can’t void or delete an invoice. To bring it to $0:

  • If the job isn’t happening, cancel the appointment. The Order’s price drops to $0, plus any cancellation fee. See How to Cancel or Reschedule an Appointment.

  • If you’re keeping the Order, change every price to $0 (see How to change a price). For charges you can’t override, such as answers to custom questions, add a negative custom fee instead.

An invoice that totals exactly $0 shows as Paid. Make sure a negative fee doesn’t take the total below $0.

Understanding what happens to the invoice

  • It updates right away. This includes invoices that are already sent or paid, and invoices that cover several Orders (weekly, monthly or company invoices).

  • No one is emailed automatically. The agent sees the new amount next time they open the invoice. To notify them now, use Send Email. See How to Send an Invoice on Demand.

  • If the new total is more than what was paid, the invoice shows Partially Paid and the agent pays the difference.

  • If the new total is less than what was paid, the invoice shows Paid at the new total. Spiro doesn’t create a credit or refund. Refund the difference in your payment processor, or add it to the agent’s account as credit. See How to Add or Remove Credits from an Agent Account.

FAQ

  • Can I delete an invoice? No. Deleting the Order’s listing removes its invoice only if no payment has been made and no other Orders are on it. See How to Delete an Order/Listing.

  • I removed a service from the appointment. Why is it still on the invoice? The trash can on the appointment only takes the service off the photographer’s job. To take it off the invoice too, remove it in Order Editing (see How to add or remove an add-on).
