When an agent places an order, Spiro only offers times from photographers who cover the address, can do the services ordered, and have open time on that date. If no one qualifies, the order page shows one of two messages. This article explains what each one means and how to fix it.

Understanding the two messages
“Unfortunately we do not have any availability for your selected date, please select another date”
Shows on the order page, the reschedule page, and when you create an order in your admin portal.
Usually means a photographer covers the address but has no open times on that date. Another date may work.
On accounts that don’t use Photographer Based trip fees, it also shows when no photographer covers the address at all. In that case a different date won’t help.
“We don’t have any photographers available at the moment. Please contact us at [email] or [phone].” (red)
Shows on the order page only, and only on accounts using Photographer Based trip fees.
Means no photographer covers that address for the services selected. A different date won’t help.
The agent can’t continue the order from the order page.
The email and phone number come from Settings → My Company → Email and Phone Number.
How to see why a photographer isn’t available
Open the order and go to Appointments → Create Additional Appointment. If your account uses manual scheduling, you can also use Manual Scheduling on the order.
In Appointment Info, pick the Appointment Date and Time.
Open Photographer Selection. An icon next to a photographer means they can’t take that appointment. Hover over the icon to see the reason:
A photographer can show more than one icon. A photographer with no icon is available. Photographers with an icon can’t be selected unless your admin role has the Override Ineligible Photographer permission. The numbers next to each name show how many jobs that photographer has scheduled this week and this month.
Troubleshooting “please select another date”
The photographer covers the address but isn’t free that day. Check the photographer’s:
Working days and hours
Time off (Google Calendar)
Daily limits: max jobs, hours, income and mileage
Rest between appointments and time slot settings
If none of these explain it, check the coverage items in the next section. On accounts that aren’t Photographer Based, missing coverage also shows this message. For where each setting lives, see Auto Scheduling Checklist to Ensure Photographer Availability.
Troubleshooting “no photographers available”
A photographer is only offered if all of these are true:
Service area: they’re assigned to a service area that includes the address.
Radius: the address must be within your farthest trip fee range. An address past your last range isn’t covered.
Custom shape: the address must be inside the shape.
Allowed Service Categories: they include every service on the order.
Allowed Entry Methods: they include the entry method the agent picked.
How to let agents submit orders when no times are available
Go to Settings → Scheduling.
In the Scheduling Method panel, turn on Switch to manual scheduling if no availability.
When no times are available, agents see the “please select another date” message with two date preference fields (Date 1 and Date 2). They can submit the order, and your team schedules it afterward. This option isn’t available with Photographer Based trip fees. It’s greyed out with the note “This option is disabled because you are using the Photographer Fee Structure trip fee option.”
For the full flow, including the email your client receives and how to schedule the order afterward, see When No Availability is Found with Automatic Scheduling - Switch to Manual Scheduling.
FAQ
Can I still book the order myself? Yes. You can create and schedule the order from your admin portal even when either message shows. To book a time or photographer that shows as unavailable, see Admin Only - Override Date, Time Photographer on Order Page.
Can my agents choose their photographer? Yes, with Automatic Scheduling. Go to Settings → Scheduling and, in the Scheduling Method panel, turn on Enable Photographer Selection on Order Page.
I fixed the photographer’s settings. Does the agent need to refresh? No. Changes to a photographer or service area apply the next time the order page checks availability, for example when the agent changes the date. Changes to account settings in Settings → Scheduling (like the two toggles above) need a page refresh.
Notes
Allowed Service Categories and Allowed Entry Methods decide whether a photographer can take the order at all. They don’t just limit which times show.
Agents never see the red message on accounts that aren’t Photographer Based.
